***UPDATE – please watch this video to make sure you do not make a mistake***
One of the blog readers received his documents required email and noticed there was a difference in the format and content of the email. Thanks Ran!
I think it’s an interesting and important change – so I wanted to get this out.
I will include the new email text below, but I will first call out some important differences.
First – the email timing may have changed. Previously the email talked about the DS260 processing being finished. The new format talks about the DS260 having been submitted. That suggests that they are going to ask for documents earlier – soon, or immediately after DS260 submission. There was a case a few days ago that was asked within a few days of submission – so this email format and my assumption is somewhat corroborated by that report.
Second the marriage and divorce documentation are now being requested (where that is needed). So married people are being asked to provide those documents before getting interviews scheduled. That is important.
Third this is now a naming convention being suggested for the documents themselves – and more clarity about how the email should be referenced. I’m sure this is an attempt to improve the workflow for the backend team who are processing these documents, so stick closely to these formats if you want a smooth document procedure.
Let me expand on their naming convention – these are ideal filenames to make it as simple as possible for them.
Each document should be scanned and saved with a filename that clearly identifies the case number, applicant name (principal or derivative name), and finally the document.
Case Number, they are showing they want the full case number with leading zeros – KCC often “prefer” the leading zeros to ensure precise reference of the case. Use that for the document and the subject.
Name should be firstname_lastname format.
Document should be one of the following list Passport, Birth_Certificate, Marriage_certificate, Divorce_document, Death_certificate, Annulment_paper, Military_record, Police_certificate_country_XXX , Court_record_country_XXX.
If translations are needed, then add “_translation” on the filename.
So you will end up with documents like this:

I hope that’s clear. You can combine one persons documents into one multiple page scan – so in that case just change the filename to say “all_documents” after the applicant name. Really – just use some common sense about this. The email below has all the instructions already.
Their example (and mine) uses pdf as the file extension but you can also scan files to jpg or jpeg file format.
Lastly – I get a lot of people asking several questions. Let me try and list those here to cut down on the times I am asked these same things.
Q: Should send documents without being asked?
A: There really isn’t any need to do that unless we are getting late in the processing year (say March/April). Until then, wait for your request, especially if your case number is high anyway.
***Update*** in DV2021 and DV2022 it is clear that sending documents without being asked is probably the best choice, on balance. It has worked for some people and you cannot just sit and wait while KCC get around to asking you.
Q: Does getting this email guarantee an appointment/that they are happy with my DS260/That there are enough visas etc.
A: No – none of those things can be assumed simply because you got this email.
Q: What is the order that these emails are sent/is it case number order/why has so and so number had theirs when I have not had mine.
A: We do not know the order in which these emails are sent. Don’t worry about it – nothing should be assumed about that order or the lack of an order. RELAX!
Q: If I send my documents early, can I be interviewed before my case number is current on the Visa Bulletin.
A: NO!!!!! No one is scheduled until their case number is current.
Q: I already sent the documents before this change, do I need to send again?
A: If you received the email that starts “Records indicate you have submitted a complete and valid DS-260 application for each family member, and you have provided all required documentation to the Kentucky Consular Center.” then NO you would not need to send again. If you have not received that email, you may need to send documents again – please wait a few days then check with KCC.
OK – so here is the email with full instructions. Please read it – and don’t ask me questions that are directly answered in the email or this article. PLEASE. I am CRAZY busy at the moment in my own work AND the busy lottery season. PLEASE PLEASE PLEASE be respectful of my time.

The Kentucky Consular Center (KCC) hereby confirms receipt of the DS-260 Diversity Visa application form for you and each accompanying family member(s). Please read this email and carefully follow the instructions listed in order to have your application processed as quickly as possible.
Now that your application form has been submitted, you should review the list of required documents for processing below and send those to KCC to review as part of your application package. You will only be scheduled for interview at an overseas consular post after you have submitted all documents required for your case and your visa rank number has become current.

Send documents only to the [email protected] email address.
Documents photographed or scanned with a mobile phone are acceptable, but every document must be fully legible. Illegible or incomplete documents must be re-submitted and will delay processing of your case.
All documents not in English, or in the official language of the country in which the application for a visa is being made, must be accompanied by certified translations. The translation must include a statement signed by the translator that states that the translation is accurate and the translator is competent to translate.
* IMPORTANT NOTE: Do not mail any documents to KCC. Any documents sent to KCC will not be processed and will be destroyed.
REQUIRED DOCUMENTS
You and each family member immigrating with you to the United States should collect the civil documents that are required to support your visa application.
Passport Biographic Page: You and each family member immigrating with you must submit a photocopy of the biographic data page of a currently valid passport. The biographic data page is the page with your photograph, name, date, and place of birth.
Birth Certificate: You and each family member immigrating with you must submit a scan of an original birth certificate or certified copy.
Marriage Certificate: If you are married, you must submit a scan of your original marriage certificate or certified copy.
Marriage Termination Documentation: If you were previously married, you must submit scanned evidence of the termination of EVERY prior marriage you have had. Your scanned evidence must be of an original or certified copy of one of the following documents: FINAL legal divorce decree, death certificate, or annulment papers.
Military Records: If you served in the military of any country, you must submit a scanned copy of your military record.
Police Certificates: If you are 16 years of age or older, you must submit a scanned copy of a police certificate from all countries you have lived in using below criteria:

Hello, so I was a DV2020 but I guess I missed out cause of the whole Trump thing so my best bet I try again in 2020 that’s in a couple of days from now. Uh, hopefully I get in this I mean it can be frustrating applying for like 5 or so years in a row and always getting shortlisted but never getting an interview date but I’m hopeful nonetheless I’ma keep trying regardless.

On 6th of June I accidentally sent email to KCC, without attaching the police certificate with other required documents.
Immediately after that I sent another email with explanation that previous email was sent accidentally without police certificate and that they should ignore it, and that they can find all required documents in that new email. I followed all instructions that you mentioned and I received at the end 2 automated emails that they received my documents.
Do you think I am in a big problem because of that first email that was sent accidentally without police certificate in it?
What should I do?
I asked KCC 4 times are they satisfied with my documents, and they always responded that my DS 260 is processed and that they are checking documents in case number order.

I am 2021AF46K. I lived in a different country other than my nationality on two occasions but I was always there for only 10 months on both occasions. That means I was there first for 10 months and after two months I returned there for another 10 months.
That makes it 20 months but they are not intact. Do I need a police certificate from that country still?

I want to renew my passport soon. So far KCC never confirmed my document as they said that might take some time. (I already got the automatic email).

I am a winner of DV-2021 AF20k.
Thank you very much for your kind help. I submitted the DS260 form on August 27, 2020, but after a while, I discovered that I had left a very important information in the form that I did not mention, as I had a physical traffic accident in 2006, and unfortunately this accident caused Wrong murder, and a court ruling was issued against me by the Court of First Instance consisting of two months inactivity imprisonment with a fine and judicial banks of 20$, and after the appeal to the Judicial Council with the benefit of the mitigating circumstances, a final court ruling was issued against me that includes the financial fine and the previously mentioned judicial expenses only with the omission of Impermeable confinement. Knowing that I paid the fine and the legal fees and acquitted me in 2011. After 7 years, I submitted a request for reinstatement by force of law and it was approved. I have requested to Unlock my DS260 to be corrected and have not yet sent it. Actually, I’m still hesitating.
Question: While I am correcting my DS260, and mentioning the incident and the court ruling issued against me, will it affect my obtaining the visa, what do you think?

Greetings sir, I’m a dv2021 with a case number of AF00052k I had my bachelor’s degree in 2017 and worked as a data clerk for 19 months then traveled abroad for my masters but didn’t complete it. Well it would have helped if you had given me some info about your case.
This is about the passport requirement. You did one of two things when you entered. You either used a valid passport (in which case they need proof of that passport number you gave) OR you claimed to be exempt from that requirement (in which case they want you to provide proof of why you were exempt).

My husband’s military certificate (which is in cyrillic) is a tiny booklet of 22 pages.
The main information is written on the 11 first pages (I looked up what exactly they needed to see in there online), many pages in the middle are empty. So we asked the translator to translate those 11 first pages. He translated 18 pages instead.
I wonder if this will be a problem? Should I get the entire document translated?

The documents they want don’t change much (apart from police certs). So- you should be OK resending what you have, as long as you expect to be interviewed pretty soon (i.e. low case number)

I am looking for clarifications about e-mailing docs to KCC:
1) In the naming convention sample, it says full name, but the sample shows First_Last. Since I have a middle name, shall I name my docs: CaseNumber_First_Middle_Last_Passport.pdf?
2) Are there official instructions on how to best proceed if the lottery entry was done with a different passport than the one used to fill out the DS-260? The passport that was valid at the time of lottery entry, has expired in the meantime and I filed the DS-260 with my new passport. I was going to proactively do the following: First page of the above pdf with the new passport’s bio page and include a second page within that same document with the old passport used to register /sign up for the lottery? Would you recommend that, or does that create confusion?
3) Military records. Technically, my country has mandatory military service requirement for men. (Because of that requirement the question about this.) There are some exceptions. I fell within one of these exceptions, and, never served.
a. Should I create a pdf document and explain that I never served and, hence, don’t have this record, or
b. Just don’t add any document / do anything about this.
4) As an unmarried person without kids and no criminal history, the only docs I will be required to e-mail KCC are, passport bio page, birth certificate, and police certificate(s), correct? Education and potential others is only at the interview as I understand.
I just want to avoid any additional delays, and risks to this already “risky dv year”. Thus, all these questions. Thanks for your help!

Hello BritSimon, I just watched the video uou uploaded for 2021 and checked the repository page for my Country. I realised I sent the wrong type (old, issued at birth) of birth cert required. I am beginning the process for the new type but I already sent the old one to kcc.
1. Do I need to update them when the new one is ready?
2. They require a secondary evidence when presenting the new type, can I use the old one as secondary evidence ?

First of all i would like to thank you for your best ever support for DV community, specially during challenging years of 2020 & 2021
Q. After i have recieved document submission email, unfortunately i have not combined the documents according your instruction, but i have named correctly all fills and attached all of theme and submitted to [email protected] on December 4rth 2020 since then kcc did not reply me wither they have recieved my documents or not.
#Now, should i combine me and my family members documents correctly according your instruction and send them again
#Or, just mail kcc and ask them wither they have recieved my documents or not?
Q. Do you think the kcc delay for not responding my documents submission email is the j have not combined my documents correctly

My case number is 2021EU00016xxx and I have sent all my documents to [email protected] 7 weeks ago, and I have got an automatic email. Could you confirm that if my documents were not compliant, they won’t come back to me? I know that it can take more time than expected but how long could it take in the worst case? Their procedures are not very consistent. So there is no “worst case” number I can give and you have to be diligent about following up with them after a month or so.

Hi Brit, I received the request for documents email in december to which I send in all docs on dec 31st. I received the auto reply, but didn’t hear back for 8 weeks. I send an email to KCC asking if my documents are processed to which I got a reply that they are processing in numerical order (CN EU232xx) so I figured since the bulletin is at 12k I still have quite some waiting to do. But then the email says this:
“After sending documents to [email protected], you will receive an automatic reply to your email. If there are no attachments, the auto reply explains there are no documents attached to the email. If there are attachments, the auto reply explains we received your email and are currently processing your documents.”
My question is, my auto reply back in december didn’t have attachments. But is this something new that they add attachments to the auto-reply? (i.e. new policy) or should I send in my documents again?

Would you please advise regarding the below:
1.Is it ok to merge the original documents and the translated one into the same PDF file?
2. What about the university certificate? It looks like it is not required for KCC? Shall I send it to KCC too? Will it be a plus? Or I just have to take it with me to the interview? I read somewhere on travel.state.gov that bringing documents to the interview that were not sent to KCC might cause delay or rejection or this is only applicable for civil documents?

I didn’t write the word _country_ .
