Just in the last couple of days a number of people have received an email from KCC asking for an applicant to submit the main required documents by email. This is a new procedure implemented this week. The official instructions have now been amended to include this new procedure, so it seems it will be needed by everyone. However, KCC having the documents early may allow them to increase the speed of processing later and it may make the interview process simpler. So – if you receive such an email it is safe to respond. Note, the email address being used is a legitimate email address , so as long as you are sending your documents to this address ([email protected] )
there is no concern.
The list of documents is given in the email. There is no need to ask me about these documents. The need for translations is also explained in the email.
Importantly, the email says that an interview will NOT BE SCHEDULED until these documents are sent. So – if asked to do this – get on with it!
OK, below is the text of the email, BUT DO NOT do this too early (meaning before receiving the email) because you will see that you need to supply the police cert, so you don’t want to obtain and send that until nearer the interview.
Last thing. PLEASE read the email fully before asking me questions. The email itself contains CLEAR instructions.

Case Number: 2019XX000XXXXX
Dear ************:
The Kentucky Consular Center (KCC) has completed processing of your DS-260 Diversity Visa application form and the DS-260s of all accompanying family members.
In order to continue processing your case, you must submit electronic copies of the documents below in .jpeg or.pdf format to [email protected]. Use your case number as the subject of the email. The maximum email size is 30MB. If the total size of your attachments is larger than 30MB, send multiple emails using your case number as the subject of each email. Please send your documents for KCC review only after you have collected all of the required documents for yourself and all accompanying family members. Send documents only to the [email protected] email address; for any document processing questions use the [email protected] email address.
Documents photographed or scanned with a mobile phone are acceptable, but every document must be fully legible. Illegible or incomplete documents must be re-submitted and will delay processing of your case.
All documents not in English, or in the official language of the country in which application for a visa is being made, must be accompanied by certified translations. The translation must include a statement signed by the translator that states that the translation is accurate and the translator is competent to translate.
You will take original or certified copies of all documents you submit to KCC to your visa interview at the U.S. embassy or consulate. Submit the same documents to KCC that you will take to your visa interview. Any differences between the documents you submit electronically to KCC and the originals you present at your visa interview could cause delays in processing or refusal of your visa application.
Do not mail paper documents to KCC. Any paper documents sent to KCC will be destroyed.
For more information on required documents, refer to the Department of State’s Diversity Visa webpage.
Documents Required for All Applicants:
• Copy of passport biodata page (no translation required)
• Birth certificate
• Military records for any applicant who has previously served in the military
• Police certificates for applicants 16 years of age or older from all required countries
• If you have been convicted of a crime, a certified copy of each court record and any prison record
Collect and submit your documents promptly. Your case will not be scheduled for a visa interview at a U.S. embassy or consulate until KCC has received and processed all required documents. Missing or illegible documents will delay processing of your case. Diversity visas are numerically limited and there is no guarantee a visa will be available. Only a consular officer can determine, at the time of the visa interview, if you are qualified to receive a Diversity Visa.
If you have questions about document submission, you may contact KCC at [email protected]. The KCC telephone number is 606-526-7500 (7:30 a.m. until 4:00 p.m. EST).

Hi Brit,
I have also received the stated mail today. My case number is 2019AS4*** from Nepal. So my question is are they sending mails to all selected dv applicants or only to those who will have interview very soon. Just wondering.. can I expect my interview for sure or just the new procedure for all selectees irrespective of the case number. Thanks.
November 7, 2018 at 04:07
Did you read the title. It’s ***NEW****.
November 7, 2018 at 06:45
wow AS4000 from nepal, but last VB Nepal is 1500 , i think VB this month will make a big jump.
November 7, 2018 at 15:38
How do u know about Nepal jumping to 400??
Is vb for January released?
November 7, 2018 at 16:17
yes i work for embassy.. january VB Nepal will jump to 6000
come on man!? read the comment first.
idk it will make a big jump or not, i read Rohit’s post
*Hi Brit,
I have also received the stated mail today. My case number is 2019AS4*** from Nepal.
you see? AS 4*** , if he got the email, it means he will get 2nl soon after document sent i guess.
November 7, 2018 at 17:34
LOL!
No it is not clear that they are sending the emails based on the next VB. They could be sending this to all selectees, or perhaps the next few VBs. It’s a NEW process, so it is unwise to assume.
November 7, 2018 at 16:31
it wont jump to 6000. its pace will be 500 to 600 each month not greater than that for nepal case.
and kcc document system is for every dv selectees who are not current thats it. it clearly says that in the statement. and they have written it too on their webpage.
November 7, 2018 at 17:37
OK – a slight caution to your confidence. The VB moves at a pace based on the number of people that can be interviewed. The information published about the new procedure says they will not schedule an interview unless they have received the documents. At this time we don’t know for sure if they will operate that way immediately, BUT if they do, it will have the effect of increasing the pace because it reduces the percentage of cases that can be scheduled.
Anyway – we should wait and see what happens.
November 7, 2018 at 06:06
A friend of mine with a case number 2019EU00010XXX got this letter where cut off number for December is 6,600. Do you think that ;
1) Things will go faster this year
2) Europe might be current much earlier this year
November 7, 2018 at 14:40
1 & 2 I don’t know.
November 11, 2018 at 08:42
“At this time we don’t know for sure if they will operate that way immediately, BUT if they do, it will have the effect of increasing the pace because it reduces the percentage of cases that can be scheduled.”
For your refers!
November 7, 2018 at 11:39
Hi Brit,
Sorry for the question about translations. However, the sentence:
“All documents not in English, or in the official language of the country in which application for a visa is being made, must be accompanied by certified translations.”
could be interpreted in several ways, especially for those ones whose native language is not English..
Could you please help us to find out the unambiguous meaning of the phrase.
Does it mean that I don’t need to translate the document issued in my country on my official language. Or I need to translate all the documents NOT in English
Thank you.
November 7, 2018 at 14:55
It isn’t ambiguous at all.
If you interview in France, you can submit documents in English or French.
November 7, 2018 at 14:12

November 7, 2018 at 14:15
Hi Brit,
My case no is 2019AS1896 and KCC has completed my processing of DS-260 diversity application form but my mother name in my passport is mistake as it is ‘Bhagwati Tiwari’ in passport and but it is ‘Bhagawati Tiwari’ in mine Birth Certificate, DS 260 form. They surely know about this later in interview. What should I do now, Can I unlock DS 260 form now and put new passport Number in Ds-260 by making new passport so that I can have same name in every document. Does it possible to unlock DS 260 form now? Please provide a genuine suggestion Sir.
November 7, 2018 at 15:01
If your passport is inaccurate, correct it.
You can unlock if you want. Use your own judgement.
November 7, 2018 at 18:08
My case number is AF16XXX, I just got my email on further documentation required today . I’m getting it ready and will send it lasted next week.
November 8, 2018 at 04:08
Hi
the day before yesterday i sent my DS260 to KCC.
i just received today an email from [email protected].
and while filling out my wife’s DS260, since her passport was not ready and i was obliged to choose the other option which was for the “another official Document for travel” based on your advice.
and today i got the email and among the list of document we have to send to KCC, there is a copy of passport. but my wife’s passport is not ready until now.
should i send to KCC my wife’s copy of official ID card in place of the copy of her passport since i chose the option of “another official Document for travel at the time i was filling out her DS260?
November 8, 2018 at 18:11
If the passport will be available soon, wait and send that.
November 8, 2018 at 06:45
Hi Brit!
Have you noticed if there is any pattern among the people receiving the e-mail? Do you think that they are sending it first to the people with the lower numbers and the interview coming in a few months? Or simply to everyone who has submitted the DS-260?
Thanks!
November 8, 2018 at 18:13
Seems like everyone. I know of one OC case of 1XXX that MOST CERTAINLY won’t be current for months, so it is clear they are not just sending to people expected to interview next month.
November 8, 2018 at 15:42
Hi Brit, I am from Nepal. I do have one problem; My birth Certificate has different address than of citizenship card, does it make any differences? B. Certificate Kamalamai-4 and Citizenship Kamalamai-2. And let me inform you it is because of newly formed states. Previously we had five reasons but now seven states. Pls. Kindly suggest me.
November 8, 2018 at 18:24
No problem.
November 8, 2018 at 18:00
does these emails come to your regular gmail or yahoo mail boxes or through the NL
November 8, 2018 at 18:25
Email.
November 8, 2018 at 18:04
Hi Brit
My wife and I have submitted our ds-260 and received our interview date which is next week already! However we only read today that scanned documents need to be sent via email. We didn’t receive any email saying we need to this and read that this is a new procedure. Do you think we need to do this if we didn’t get an email?
Thanks
D
November 8, 2018 at 18:25
No
November 8, 2018 at 18:52
Hi, Brit.
I would like to use some logic.
If KCC want this document confirm by email – process not about they can not reach to our DS260, if they want this for understand how much people is realy ready and want interview date, I think they will not send it to all of winners. Because if they will send it to 22.000 case numbers, and they interview will be about 7-8 month later, so how they will be sure that person that he/she sent documents to KCC will come to the interview. So, I think their policy is sending that email to the next VB people (I think they stopped to send it about 13000 case nimber – in Europe). And it can be next month (hope) or next 2 month’s VB number.
Thank you
November 8, 2018 at 20:24
No – in some cases that have already received the email, the number won’t be current for months.
November 8, 2018 at 19:31
Hi Brit!
Among the requested documents was the police certificate. But according to the information there are no police certificates available in my country (Albania).
What should I do in this case?
November 8, 2018 at 20:27
You need to read the instructions you have been given. If you had done so, you would have read all about the procedure on the Albania reciprocity page. Do that.
November 9, 2018 at 09:54
Hi Brit,
I have a question about the Police Certificate document (Albania), because when we apply to the Albanian Post for this document, they will sent it directly to the US Embassy in Albania in a couple of weeks.
I have read the procedure and it says: -“By arrangement with the Albanian authorities, court certificates for applicants for U.S. visas are transferred directly to U.S. Embassy Tirana. Therefore the applicant will not receive an original copy of the criminal court certificate nor is it necessary for them to send the document to NVC. Only court certificates obtained directly through U.S. Embassy Tirana are acceptable; applicants may not present their own certificates.Applicants should send NVC a copy of the receipt of payment along with a statement in English as evidence that they have applied for the MOJ certificate.”
Should I send to KCC the scaned letter of application for Police Certificate?

November 8, 2018 at 19:31
Sir I payed my green card fee with uscis in may 25 2018 snd they sent me a confirmation mail and that was after a month of my coming to usa and when I check the uscis case check status they said that they mail my green card to my adress and they give me. A tracking number with usps and when I check the number in usps I found that this number it doesn’t exist this case in usps what I should do now it is more than six month and I didn’t receive my green card
November 8, 2018 at 20:29
As I have told you before. You need to use come common sense. You have the USPS number. It is probably correct, but you are doing something wrong. If you cannot figure it out you could contact USCIS, but since they have sent your card already they may charge you several hundred dollars to replace it.
November 8, 2018 at 20:06
Hi Brit
I am the winner of DV 2019. I have already received the above mentioned notification from KCC. My question is within how many days after receiving the notifications is acceptable to attach the scanned copy of the entire further DV Documents required to the email mentioned?
November 8, 2018 at 20:31
There is no defined time. Use your own judgement.
February 13, 2020 at 23:02
Hi,
I am from Cuba and I applied for my visa lottery from Cuba (we speak Spanish). The interview will be in Guayana (English speaking country) The letter says
“All documents not in English, or in the official language of the country in which application for a visa is being made, must be accompanied by certified translations.”
I submitted all the documents to the KCC in Spanish and they accepted and my interview were scheduled. I have already all the translation of my documents in hand to show to the interview.
My question is.
Do I have to submit again my documents with the translations to the KCC again or going leave it as it is and going to the interview with the original documents and its translation on hand?
February 14, 2020 at 00:32
Since you are already schedule there is no need to resend to KCC, but take the translations to the interview.
November 9, 2018 at 20:27
Hi Brit I have a question concerning the police certeficate, in my country (Ageria) this document has an expiration date of 3 months,I have sent the required documents already.
in the day of my interview(which will happen after three months cause my CN is big) I’ll have to make another police certificate. so that means there will be a difference in dates between the police certificate i sent to KCC and the one i will bring to my interview
so my question is will it cause a problem as they have said in the email any difference in documents will cause a delay. thanks in advance for your answer
November 9, 2018 at 20:46
Take both to the interview.

Hello Brit
I have some concerns
The date of birth in my birth certificate is 1/08/94 but that on my passport is 4/08/94.i don’t know if this will be a problem at interview.the mistake came from the passport office and I’m really confused
Please what can I do
November 10, 2018 at 19:43
You need to use your own judgement. If the passport is incorrect – then maybe it should be fixed – but that depends on procedures in your country.

November 19, 2018 at 16:22
Just ask one time!
No problem. Use this format.
Last name :M
First name: T
Middle name A
November 20, 2018 at 09:58
OK bro thank
I want to tell the truth I had first filled it as
Surname : T A M
Given names: F N U
This was because of the instructions on the tope page of ds260 that data on the page must match that on the passport
My fear is
1) shall I unlucky to change it ? If I do is it not going to raise eye brow at interview if asked
2) am afraid cause the FNU now means no first name of which wen I played I provided a first name which I have.
3) am equally afraid since the new procedure needs us to send passport to kcc would it be a problem if checked and my my names are all on surname yet I separated
4) so I should deliberately put it put is as surname: m
Given name T A even though that not how my passport shows?
Please bro am crying already cause of this help me please in the name of God . I can’t miss this opportunity for my family
November 20, 2018 at 17:58
So you deliberately wasted my time earlier??? I don’t have spare time to be wasted. I also told you to post one time and now I see you posted 4 more times!
You are afraid because you can’t stop yourself lying. Re-read my earlier answer and start telling the truth.
November 20, 2018 at 18:35
Big brother Brits Simon

My full name is what I told you right in my birth certificate T A M and I played the lottery based on the last name , first name and middle name am only trying yo complain to you that since all my names where placed on the surename leaving given name empty on my passport how do I go about it. The first way I filled it to be as written on passport
Surname : T A M
Given names: FNU
1) am trying to beg you to advice me if this was or was not the best format
2) that if I change it to the format that you advice me to by separating it like
Surname: M
Given name T A will this be a problem for me at the interview or it OK
Bro Simon I was recommended to you and I was told your the best at dv case. Hi Brit , for the marriage date in the ds 260, we need to put the date of the court wedding or the traditional wedding? Best regards
November 20, 2018 at 18:09
Legal wedding.
November 20, 2018 at 18:24
Thank u sir
November 20, 2018 at 19:41
Hi Simon,
Thanks a lot for your amazing efforts. I was preselected for dv 2019. I submit my Ds-260 and my husband also submit a DS260 in June. Then my husband decided he is not interested in the green card. I called KCC and a representative advised to request an unlock of both our DS-260 then to change information on mine regarding accompanying spouse then resubmit my DS-260 but to NOT resubmit my husband. I did. Now months later my DS-260 shows as complete but his as incomplete. Can this slow down or hinder the processing of my DS-260? Should I resubmit his? I tried calling rhe embassy in my country of residence, it went to their delocalised customer service they have no idea what I should do.
Have a great day. Thanks a lot in advance.
November 20, 2018 at 19:57
No need to submit his DS260 or any documents for him.
November 28, 2018 at 05:56
Hi Simon
I have some questions, I received that email from the KCC…
I have the documents in Chinese and Spanish (since I am from Taiwan and my interview would be in Mexico ). Do I also have to attach the translations for both right? Or just Chinese translation?
Please, if you can answer me I would really appreciate it, I have a lot of anxiety, I want to do my best
Regards

If in doubt, send both. Frankly, English would be more useful.

I don’t have time to waste on people who cannot make their question clear even after so many times I asked you to be clear.

the status check page will not be active until january 2019.
you could easily find out if you read the FAQ page though.

Dear Sir,
Regarding the requested documents:
1• Military records for any applicant who has previously served in the military
I didn’t have military records, as in our country military is not mandatory.
2• If you have been convicted of a crime, a certified copy of each court record and any prison record
I have never been convicted of a crime.
Question:
I don’t have any documents prove the above, shall I have to provide any evidence, or just replying like above will be enough for KCC?
thanks
Kind regards

Well, the police cert shows you were not convicted of a crime, and your work experience will show that you did not attend the military, so that should be enough.

Hey Brit, KCC has mailed me to submit my documents, So I collected all of my documents which include police clearance report from Dubai where I reside nearly 2 years, the problem is I applied for Police report in June which already expired in september, Now my question is Do I need to apply for anothere clearance report even I havent return there from last time I leave Dubai.
December 4, 2018 at 20:02
Usually they will accept an OLD police cert in those circumstances.
March 10, 2019 at 09:13
if the police clearance issued from Dubai, and it is in Arabic, do we have to translate it to English, if the interview is in abu dhabe, or they will accept documents in Arabic ?? please advise
