One of the blog readers received his documents required email and noticed there was a difference in the format and content of the email. Thanks Ran!
I think it’s an interesting and important change – so I wanted to get this out.
I will include the new email text below, but I will first call out some important differences.
First – the email timing may have changed. Previously the email talked about the DS260 processing being finished. The new format talks about the DS260 having been submitted. That suggests that they are going to ask for documents earlier – soon, or immediately after DS260 submission. There was a case a few days ago that was asked within a few days of submission – so this email format and my assumption is somewhat corroborated by that report.
Second the marriage and divorce documentation are now being requested (where that is needed). So married people are being asked to provide those documents before getting interviews scheduled. That is important.
Third this is now a naming convention being suggested for the documents themselves – and more clarity about how the email should be referenced. I’m sure this is an attempt to improve the workflow for the backend team who are processing these documents, so stick closely to these formats if you want a smooth document procedure.
Let me expand on their naming convention – these are ideal filenames to make it as simple as possible for them.
Each document should be scanned and saved with a filename that clearly identifies the case number, applicant name (principal or derivative name), and finally the document.
Case Number, they are showing they want the full case number with leading zeros – KCC often “prefer” the leading zeros to ensure precise reference of the case. Use that for the document and the subject.
Name should be firstname_lastname format.
Document should be one of the following list Passport, Birth_Certificate, Marriage_certificate, Divorce_document, Death_certificate, Annulment_paper, Military_record, Police_certificate_country_XXX , Court_record_country_XXX.
If translations are needed, then add “_translation” on the filename.
So you will end up with documents like this:
2020AF00938653_John_Doe_Birth_Certificate.pdf 2020AF00938653_John_Doe_police_certificate_country_france.pdf 2020AF00938653_John_Doe_police_certificate_country_france_translation.pdf 2020AF00938653_John_Doe_marriage_certificate.pdf

I hope that’s clear. You can combine one persons documents into one multiple page scan – so in that case just change the filename to say “all_documents” after the applicant name. Really – just use some common sense about this. The email below has all the instructions already.
Their example (and mine) uses pdf as the file extension but you can also scan files to jpg or jpeg file format.
Lastly – I get a lot of people asking several questions. Let me try and list those here to cut down on the times I am asked these same things.
Q: Should send documents without being asked?
A: There really isn’t any need to do that unless we are getting late in the processing year (say March/April). Until then, wait for your request, especially if your case number is high anyway.
***Update*** in DV2021 and DV2022 it is clear that sending documents without being asked is probably the best choice, on balance. It has worked for some people and you cannot just sit and wait while KCC get around to asking you.
Q: Does getting this email guarantee an appointment/that they are happy with my DS260/That there are enough visas etc.
A: No – none of those things can be assumed simply because you got this email.
Q: What is the order that these emails are sent/is it case number order/why has so and so number had theirs when I have not had mine.
A: We do not know the order in which these emails are sent. Don’t worry about it – nothing should be assumed about that order or the lack of an order. RELAX!
Q: If I send my documents early, can I be interviewed before my case number is current on the Visa Bulletin.
A: NO!!!!! No one is scheduled until their case number is current.
Q: I already sent the documents before this change, do I need to send again?
A: If you received the email that starts “Records indicate you have submitted a complete and valid DS-260 application for each family member, and you have provided all required documentation to the Kentucky Consular Center.” then NO you would not need to send again. If you have not received that email, you may need to send documents again – please wait a few days then check with KCC.

You and each family member immigrating with you to the United States should collect the civil documents that are required to support your visa application.
Passport Biographic Page: You and each family member immigrating with you must submit a photocopy of the biographic data page of a currently valid passport. The biographic data page is the page with your photograph, name, date, and place of birth.

Am not angry because am not lying, in my family a cousin won this last year he was a driver he stopped school at the primary, I told him to not continue but he refused and he failed. Some people in Guinea/Sierra Leone/Ivory coast/Liberia/Ghana… they use to create fake marriage or provide false documents. I can not relate all but I know.
At the university people go there go to offer free registration some of them are guinean and most from english spoken country and they use to say it is free when you win they ask money if you do not have they tell you they will look someone who will finance and you will go with him or her as husband or wife.
For instance this one they forced him go with a girl but he stayed READY TILL THE END(2019AF14390).
These two people refused as I advice them but they paid 1000$ each one to get their code but luckily their succeed by going alone(2019AF15033, 2019AF29008).

If you have High school diploma no problem. But imagine people use false documents and because of that DV PROCESS became complicated. In 2008 Guinea Dakar just use to ask to present high school diploma without checking, but now they will verify at the ministry, Dakar think most of us are liers. Even couple fought there and the embassy asked the reason, finally they realized most marriage are not genuine and some true marriage are victims because they all came from the same country.
About agent people don’t know before they ask money after.
If they ask to provide high school diploma and marriage certificate while entering DV it will be better again

I believe that’s why passport is now needed , in order to submit an entry . And that will reduce frauds and allow only serious people to apply . Kind of unrelated to this blog but I have question need your advise in.
I won the 2019 lottery. My case number was 2019AF00046XXX. I submitted the ds260 on 19 May 2018. I got an email with required documentation on the 15 July 2019 and it took me several days to get the police certificate. I sent it on 30 July 2019. After few days I sent them an email asking for the status of interview process they replied but that it was too late to process my document for the interview.
Should I file a complaint or do anything and how? I was so close to getting an interview after waiting a whole year. Or should I just let it go?
Would appreciate your advice.

There is no justification to file a complaint. They asked for documents, and you waited 15 days, That was enough to cause the problem, given how late it was. You have no complaint, and nothing can be done.
I actually spent months trying to get people to send their documents. I understood there would be people caught out by not responding to the new procedure. It’s a shame you missed those articles and videos.

It has been helpful to me.
I just want to talk about another document that some may need in this process : “Court document”.
My wife who was the principal applicant in the DV 2019, had mismatching names on her diploma and civil documents
(ID & Passport).
We have been first advised to forge another diploma, but said no, that we have to defend the truth.
We filed the case in the Court to confirm that the Diploma with previous name belongs to her. The court ruled it positively and took the “court document”
to the interview.
They asked us about name change and told the truth.
So, please always tell the TRUTH.
It’s easy to defend it than defending a LIE

1. I lived in the USA for more than 12 months, but I no longer live there. Do I need to obtain the Police record from the USA? If yes, what is the process for that?

1.Scanned copy of your Educational requirements that qualifies you applicant as a High school graduate or A professional person.
2.If Married, scanned copy of marriage certificate
3.Additional questions can be ask, if in CO habitation relationship, do u have plan of getting married, if Yes, provide name and photos of Said partner and epected date of marriage. Noting if u win, he or she will not be part of your program unless you both married before announcement of result .
The passport requirements has drop numbers of applicants very greatly.

Okay, so I’m 25, never been to doctor in my life (just regular basis), I do not use any medication or have any issues.
So 365 days 50k coverage plan for me will cost $350, and that’s fine to me, not expensive as I’m from Europe and I earn well already.

This is the email I got after one day of submitting documents,
Records indicate you have submitted a complete and valid DS-260 application for each family member, and you have provided all required documentation to the Kentucky Consular Center.
Interviews are scheduled numerically based on case numbers that have completed processing. Interviews for the DV 2020 program will begin in October 2019 and conclude on September 30, 2020. I sent my documents on Aug 13 .But I have not received any email regarding the documents have been processed. I inquire with KCC after a month and they say if i get auto reply, that means they have received the documents and are in process. But how long it takes for them to process the submitted docs? My interview will be in first week of December. Should i call them instead or wait until end of this month.

I just received an email similar to the one, you posted, but with a few differences:

I have already completed DS-260 form on May. I have printout of “Immigrant Visa and Alien Registration – Confirmation Page” and the status under IV Application is COMPLETED.
I haven’t received any email after DS-260 submission. Except the bellow one.
Do you think i have a problem with DS-260 and i need to contact with KCC and let them know that application was completed on May, or this is a just generic text for all applicants whose numbers are not current yet ?

Hi Simon,
Firstly thanks for the video update on 2021 procedure and way forward of wining the lottery. I met all requirements with the exception of photo which that I used my phone and edited the photo with Ms. Paint 600X600 when I placed the photo in the selected area it requested me to give the rightful size of photo which I did. I did it for the second time this time around the photo was successful but I still having a doubt that I never did the right on the photo resize.
My question here is: Can I be consider in this direction knowing fully well my photo was accepted which I don’t know the actual photo dimension?

Hi Tal – just do a followup telephone call to make sure that all is ok – eg. that they have received your amended DS260 and by when do u expect to get the email rqst from them for the documents submission. KCC is always so helpful wen u call. Hope my suggestion helps instead of u waiting in anticipation. ***Just provide your case number, lastname/firstname and date of birth when u speak to a KCC representative. Cheers.

Some documents don’t “get old”, others do (such as police certs). So – you can renew police certs etc nearer the interview, and take old and new copies to the interview.

My problem is, I already submitted my DS-260 and I received a successful confirmation but i didn’t complete the social media section because it was not available at that time, but on the first paragraph they said ‘You should review the list of required documents for processing below and send those to KCC to review as part of your application package, along with completing your DS-260’.
So i don’t know if i am suppose to send again the DS-260 form or just the social media form, or just the required documents needed. Please I need your advise and direction.
