One of the blog readers received his documents required email and noticed there was a difference in the format and content of the email. Thanks Ran!
I think it’s an interesting and important change – so I wanted to get this out.
I will include the new email text below, but I will first call out some important differences.
First – the email timing may have changed. Previously the email talked about the DS260 processing being finished. The new format talks about the DS260 having been submitted. That suggests that they are going to ask for documents earlier – soon, or immediately after DS260 submission. There was a case a few days ago that was asked within a few days of submission – so this email format and my assumption is somewhat corroborated by that report.
Second the marriage and divorce documentation are now being requested (where that is needed). So married people are being asked to provide those documents before getting interviews scheduled. That is important.
Third this is now a naming convention being suggested for the documents themselves – and more clarity about how the email should be referenced. I’m sure this is an attempt to improve the workflow for the backend team who are processing these documents, so stick closely to these formats if you want a smooth document procedure.
Let me expand on their naming convention – these are ideal filenames to make it as simple as possible for them.
Each document should be scanned and saved with a filename that clearly identifies the case number, applicant name (principal or derivative name), and finally the document.
Case Number, they are showing they want the full case number with leading zeros – KCC often “prefer” the leading zeros to ensure precise reference of the case. Use that for the document and the subject.
Name should be firstname_lastname format.
Document should be one of the following list Passport, Birth_Certificate, Marriage_certificate, Divorce_document, Death_certificate, Annulment_paper, Military_record, Police_certificate_country_XXX , Court_record_country_XXX.
If translations are needed, then add “_translation” on the filename.
So you will end up with documents like this:
2020AF00938653_John_Doe_Birth_Certificate.pdf 2020AF00938653_John_Doe_police_certificate_country_france.pdf 2020AF00938653_John_Doe_police_certificate_country_france_translation.pdf 2020AF00938653_John_Doe_marriage_certificate.pdf

and so on…
I hope that’s clear. You can combine one persons documents into one multiple page scan – so in that case just change the filename to say “all_documents” after the applicant name. Really – just use some common sense about this. The email below has all the instructions already.
Their example (and mine) uses pdf as the file extension but you can also scan files to jpg or jpeg file format.
Lastly – I get a lot of people asking several questions. Let me try and list those here to cut down on the times I am asked these same things.
Q: Should send documents without being asked?
A: There really isn’t any need to do that unless we are getting late in the processing year (say March/April). Until then, wait for your request, especially if your case number is high anyway.
***Update*** in DV2021 and DV2022 it is clear that sending documents without being asked is probably the best choice, on balance. It has worked for some people and you cannot just sit and wait while KCC get around to asking you.
Q: Does getting this email guarantee an appointment/that they are happy with my DS260/That there are enough visas etc.
A: No – none of those things can be assumed simply because you got this email.
Q: What is the order that these emails are sent/is it case number order/why has so and so number had theirs when I have not had mine.
A: We do not know the order in which these emails are sent. Don’t worry about it – nothing should be assumed about that order or the lack of an order. RELAX!
Q: If I send my documents early, can I be interviewed before my case number is current on the Visa Bulletin.
A: NO!!!!! No one is scheduled until their case number is current.
Q: I already sent the documents before this change, do I need to send again?
A: If you received the email that starts “Records indicate you have submitted a complete and valid DS-260 application for each family member, and you have provided all required documentation to the Kentucky Consular Center.” then NO you would not need to send again. If you have not received that email, you may need to send documents again – please wait a few days then check with KCC.

Documents photographed or scanned with a mobile phone are acceptable, but every document must be fully legible. Illegible or incomplete documents must be re-submitted and will delay processing of your case.
All documents not in English, or in the official language of the country in which the application for a visa is being made, must be accompanied by certified translations. The translation must include a statement signed by the translator that states that the translation is accurate and the translator is competent to translate.
* IMPORTANT NOTE: Do not mail any documents to KCC. Any documents sent to KCC will not be processed and will be destroyed.
REQUIRED DOCUMENTS
You and each family member immigrating with you to the United States should collect the civil documents that are required to support your visa application.
Passport Biographic Page: You and each family member immigrating with you must submit a photocopy of the biographic data page of a currently valid passport. The biographic data page is the page with your photograph, name, date, and place of birth.
Birth Certificate: You and each family member immigrating with you must submit a scan of an original birth certificate or certified copy.
Marriage Certificate: If you are married, you must submit a scan of your original marriage certificate or certified copy.
Marriage Termination Documentation: If you were previously married, you must submit scanned evidence of the termination of EVERY prior marriage you have had. 1. No danger as long as the relationship is genuine. The timing depends on when you submit your DS260 and documents. So – make your mind up and get on with it.

1) Should I contact them to make sure they received my docs, and ask about the status of them, or should I just wait and see a couple more months?

Hi Brit, I have similar question. I already sent my documents and I only have one first name, but i just realized one (hopefully minor) difference. In my country, we use Latin and Cyrillic and my first name could be spelled in two different ways which goes like this – Djordje and Đorđe in Latin. It’s the same name but in some cases on my government issued documents it’s written one way or the other. Ex: Personal ID spelled as Djordje and my drivers licence says Đorđe. And that’s the case with the documents I’ve sent, but in all my docs I naturally have the same address, DOB, etc. I use “Djordje” whenever I’m outside of my country as well as on my DS-260. Should I be concerned?

If you don’t NEED to unlock, don’t. But also check that you are entering your details correctly to access your DS260 – you are probably making a simple mistake.

Hi Brit, we already discussed this situation about my name being spelled in two slightly different ways in Latin and I asked them last week to unlock my DS form to add a second spelling version of my name, which they did, but I can’t access my form now. OK – let’s go through this to see what you enter. READ THIS VERY CAREFULLY.
1. Case number without leading zeros – like 2020AF12345 instead of 2020AF00012345
2. Principle applicants surname. That is the family name, lastname. It is the name BEFORE THE COMMA on the entry confirmation from when you entered in 2018.
3. Date of birth in the correct format. If you corrected your DOB in the DS260 you would still enter the UNCORRECTED DOB
4. Confirmation number. That is the confirmation number that you got when you entered the lottery.
5. Select that you are the applicant.
6. Enter the CAPTCHA correctly.

It’s the confirmation number you got when you ***entered the lottery*** – the one you use for the ESC page. It is NOT the DS260 confirmation number.

Please I need a clarification . In the documents email that KCC sent , it says that Documents photographed or scanned with a mobile phone are acceptable, but every document must be fully legible . So my situation is that , all documents I sent were in PDF form but one file ( document ) was in jpeg format .
I haven’t received my documents confirmation yet and I’m worry if that might be the reason , knowing that o followed correctly the instructions to name and arrange the files when sending . Thank you

You are stressing for no reason again. You can ask KCC if they are satisfied. THey may not be able to tell you yet, but by early June we should have a good idea of what cases are ready, and which are not.

Thank you Brit . I did call KCC yesterday , Friday , a lady I talked to said she could not see that my documents are processed . She said the documents department notify them whenever documents are processed completely , but she didn’t see that note with my case . I asked if I should send again my documents , she said NO , I can just wait for sometime and call them again .
I’m only stressed because I don’t want to make the smallest mistake that might cause any delay to scheduling us an interview , when it starts . I will wait until the end of May and see what happens .

I got selected for dv 2021. In the required documents they asked for police certificate from each country where I lived more than 12 months. Im unable to provide those certificates from each country for many reasons:
1- some countries does not provide police certificate for foreigners
2- some countries only provide police certificate To me in person. So i cant send someone to get me the police certificate.
So my question is i apply only the police certificate that i was able to get?

In all cases you follow the reciprocity page instructions. You do EXACTLY what it says. In cases where the reciprocity page says the police cert is unavailable, you will not need to provide the report.

2. An I-134 is safest, but you should have at least $10k per person.
If your dad lives in the USA, then yes, otherwise no.

Mr Brits good day, am one of the winner of DV2021.My question is about police clearance. Am a Cameroonian residing in South Africa. And l did studied in North Cyprus. From my inquiry about the one of North Cyprus, l have been told must Universities operating in the above area is illegal, and as such they will not issue me a police clearance certificate. Meanwhile l got a scholarship to study there and l left the country after my studies. My Ds260 form has been submitted.
At this point should l present that of my country of origin and the country am residing now.

Mr Brit, as regarding police clearance of North, Cyprus, can only be issue when you are in the country not out of the country. I left the country after my studies.
Normally am suppose to present three police clearance certificates but am unable to get the one of North Cyprus.

I am the DV winner of 2021. After submitting my DS260 form I got an email from KCC to submit my required documents. Then I submitted my birth certificate, Marriage certificates, notary of marriage certificate, police report of mine and my wife, passport scan copy of my family members and their birth certificate as well. But after submitting the documents I found a minor spelling mistake of my surname in my birth certificate written under my photo that has been patched. Now I am in tense. Will I be disqualified or I won’t get second letter. What should I do now? Please help.

Submit all documents, and police certs where needed according to the instructions. If you are unsure, be conservative and provide police certs for a country even if not strictly needed – i.e. if the time limit is 12 months, and you had been there 11 months – obtain and provide the police cert anyway.

After a few months I realized that my documents had not been translated and I resubmitted them translated into English on May 6, 2020. I still have not received a confirmation of documents.
