***UPDATE – please watch this video to make sure you do not make a mistake***
One of the blog readers received his documents required email and noticed there was a difference in the format and content of the email. Thanks Ran!
I think it’s an interesting and important change – so I wanted to get this out.
I will include the new email text below, but I will first call out some important differences.
First – the email timing may have changed. Previously the email talked about the DS260 processing being finished. The new format talks about the DS260 having been submitted. That suggests that they are going to ask for documents earlier – soon, or immediately after DS260 submission. There was a case a few days ago that was asked within a few days of submission – so this email format and my assumption is somewhat corroborated by that report.
Second the marriage and divorce documentation are now being requested (where that is needed). So married people are being asked to provide those documents before getting interviews scheduled. That is important.
Third this is now a naming convention being suggested for the documents themselves – and more clarity about how the email should be referenced. I’m sure this is an attempt to improve the workflow for the backend team who are processing these documents, so stick closely to these formats if you want a smooth document procedure.
Let me expand on their naming convention – these are ideal filenames to make it as simple as possible for them.
Each document should be scanned and saved with a filename that clearly identifies the case number, applicant name (principal or derivative name), and finally the document.
Case Number, they are showing they want the full case number with leading zeros – KCC often “prefer” the leading zeros to ensure precise reference of the case. Use that for the document and the subject.
Name should be firstname_lastname format.
Document should be one of the following list Passport, Birth_Certificate, Marriage_certificate, Divorce_document, Death_certificate, Annulment_paper, Military_record, Police_certificate_country_XXX , Court_record_country_XXX.
If translations are needed, then add “_translation” on the filename.
So you will end up with documents like this:
2020AF00938653_John_Doe_Birth_Certificate.pdf 2020AF00938653_John_Doe_police_certificate_country_france.pdf 2020AF00938653_John_Doe_police_certificate_country_france_translation.pdf 2020AF00938653_John_Doe_marriage_certificate.pdf

and so on…
I hope that’s clear. You can combine one persons documents into one multiple page scan – so in that case just change the filename to say “all_documents” after the applicant name. Really – just use some common sense about this. The email below has all the instructions already.
Their example (and mine) uses pdf as the file extension but you can also scan files to jpg or jpeg file format.
Lastly – I get a lot of people asking several questions. Let me try and list those here to cut down on the times I am asked these same things.
Q: Should send documents without being asked?
A: There really isn’t any need to do that unless we are getting late in the processing year (say March/April). Until then, wait for your request, especially if your case number is high anyway.
***Update*** in DV2021 and DV2022 it is clear that sending documents without being asked is probably the best choice, on balance. It has worked for some people and you cannot just sit and wait while KCC get around to asking you.
Q: Does getting this email guarantee an appointment/that they are happy with my DS260/That there are enough visas etc.
A: No – none of those things can be assumed simply because you got this email.
Q: What is the order that these emails are sent/is it case number order/why has so and so number had theirs when I have not had mine.
A: We do not know the order in which these emails are sent. Don’t worry about it – nothing should be assumed about that order or the lack of an order. RELAX!
Q: If I send my documents early, can I be interviewed before my case number is current on the Visa Bulletin.
A: NO!!!!! No one is scheduled until their case number is current.
Q: I already sent the documents before this change, do I need to send again?
A: If you received the email that starts “Records indicate you have submitted a complete and valid DS-260 application for each family member, and you have provided all required documentation to the Kentucky Consular Center.” then NO you would not need to send again. If you have not received that email, you may need to send documents again – please wait a few days then check with KCC.
OK – so here is the email with full instructions. Please read it – and don’t ask me questions that are directly answered in the email or this article. PLEASE. I am CRAZY busy at the moment in my own work AND the busy lottery season. PLEASE PLEASE PLEASE be respectful of my time.

The Kentucky Consular Center (KCC) hereby confirms receipt of the DS-260 Diversity Visa application form for you and each accompanying family member(s). Please read this email and carefully follow the instructions listed in order to have your application processed as quickly as possible.
Now that your application form has been submitted, you should review the list of required documents for processing below and send those to KCC to review as part of your application package. You will only be scheduled for interview at an overseas consular post after you have submitted all documents required for your case and your visa rank number has become current.
All documents should be submitted as attachments to your email to ensure they are properly received. We ask that you use the following method to name and attach your files:
– Your DV case number;
– The full name of the applicant whose document you scanned; and
– The document name or form number.

Use your case number as the subject of the email. The maximum email size is 30MB. If the total size of your attachments is larger than 30MB, send multiple emails using your case number as the subject of each email. Please send your documents for KCC review only after you have collected all of the required documents for yourself and all accompanying family members. Send documents only to the [email protected] email address.
Documents photographed or scanned with a mobile phone are acceptable, but every document must be fully legible. Illegible or incomplete documents must be re-submitted and will delay processing of your case.
All documents not in English, or in the official language of the country in which the application for a visa is being made, must be accompanied by certified translations. The translation must include a statement signed by the translator that states that the translation is accurate and the translator is competent to translate.
* IMPORTANT NOTE: Do not mail any documents to KCC. Any documents sent to KCC will not be processed and will be destroyed.
REQUIRED DOCUMENTS
You and each family member immigrating with you to the United States should collect the civil documents that are required to support your visa application.
Passport Biographic Page: You and each family member immigrating with you must submit a photocopy of the biographic data page of a currently valid passport. The biographic data page is the page with your photograph, name, date, and place of birth.
Birth Certificate: You and each family member immigrating with you must submit a scan of an original birth certificate or certified copy.
Marriage Certificate: If you are married, you must submit a scan of your original marriage certificate or certified copy.
Marriage Termination Documentation: If you were previously married, you must submit scanned evidence of the termination of EVERY prior marriage you have had. Your scanned evidence must be of an original or certified copy of one of the following documents: FINAL legal divorce decree, death certificate, or annulment papers.
Military Records: If you served in the military of any country, you must submit a scanned copy of your military record.
Police Certificates: If you are 16 years of age or older, you must submit a scanned copy of a police certificate from all countries you have lived in using below criteria:

You said in your article that we should neme the passport then its translation in two different file while when you translate a document they sign all the page and a copy of the original document and its all togather not separate . So the translation and a copy of original document is in one document all signed by traslator .

I’ve submitted the DS-260 on July 30th, but still did not receive the KCC letter for documents submittal.
Also, I have a few questions/concern:
1) How many weeks/months typically pass, from the DS260 submittal to the KCC request?
2) In my home country, there are two different police records (as identified by the reciprocity page). The first one being the “Casellario Giudiziale” and the second one the “Carichi Pendenti”.
When I send the documents to KCC shall I use their original Italian name, or simply name them:

I am DV2022 winner with case number AS2xxx, the interview embassy located in Riyadh Saudi Arabia, and its open and working.
i submitted my DS-260 early July , but till now i didn’t receive the documents email from KCC.
i prepared all my Civil documents and i am going to send all of them by tomorrow without KCC email.
Question (1): All my civil documents are in Arabic and i translated all of them to English language through office translation office.
shall i send the scan copy of my original Civil documents (in Arabic) as well as the translation copy since all translation copies complained the original scan (Arabic Scan) as well ..? or i have to send only the Translation copy ..??
Question (2): with such small case number, shall i expect my interview late this year or early nest year ..??

Hi Brit – long time reader and listener here! Thanks for all the work you do.
There seems to be some confusion out there regarding police certificates if you have previously lived in the US on a non-immigrant visa given the wording on the US govt website which states:
“Note: Present and former residents of the United States do NOT need to submit any U.S. police certificates.” I took this to be that as I have been in the US on a non-immigrant visa for over 12 months, I would not myself need to source a US police certificate. I note that your video also agrees with this position (as you say a US Police Certificate is not needed). However some people seem to be interpreting this comment as meaning that those who have been in the US on non-immigrant visas were not “residents” during their time in the US and therefore are not “former residents” and therefore they need to source a US police certificate and submit this as part of their documents. I wanted to check if you had any direct experience on this point and could share any further information?

Thanks for all your work, it certainly is an amazing help.
2022SA23xx here. I submitted my DS260 in May 2021 as soon as I could, I reviewed it many many times and made sure I completed all the information as truthfully and accurately as possible. Everything looks OK to me and in accordance with your guidelines from this blog and your Youtube channel videos.
I just today finished gathering all of my documents to send to KCC.
That being said, I read on some previous comments on this post some people asking you if they should unlock their DS260 due to not adding some social media accounts like Twitter or Telegram. In my case, I added all of my Instagram, Youtube, Pinterest, LinkedIn, Facebook accounts. And of course all of the email addresses that I use or have ever used to the best of my knowledge.
I now have a twitter account that didn’t exist at the moment of submission of my DS260 since I created it later only to follow you and your updates on that platform. As far as Telegram or even Whatsapp and Snapchat,(do have accounts only use Whatsapp) I honestly didn’t consider them to be relevant as social media platforms to add in my form since they are mainly only for messaging.
Anyway, my question is:
Do you think this is something that calls for unlocking my DS260 and adding this information to my entry?
I hope it is not necessary, I feel like it is quite irrelevant then again I could be wrong. I just hope not since I do not want to jeopardize/delay the processing of my case by having to unlock and re-submit my form.

My ds unlocked today there is something that confused me
I recently bought my secondary phone number that i enterd in ds 260 after buying it I realized that it belonged to someone else before, and maybe there are email or social medias with that phone number because it was for someone else before i bought it , i also explained this to KCC with email
Now do you think it’s better to delete the number from ds 260 because i explained to kcc , or i don’t delete it and explain it to the officer before the interview ?

Dear Simon,
I enter dv lottery with my old passport, and submit ds 260 with the new passport. I received Document Request this week, it says the following:
“If the passport used by the principal applicant to enter the DV program differs from the one currently being submitted, you should also include a photocopy of the principal applicant’s passport listed on the DV entry with a written explanation for the change to KCC.
I just attached two passport. I typed the explanation in the mail rather than an explanation PDF file. Should I send all the documents again and transfer my explanation into PDF file and attached in the mail?

My brother won the DV2022. However his wife and his elder son (23 years old = not qualified) do not wants to immigrate with him to USA until the elder son finish his college. Hence, he only filed DS260 for him and his younger brother.
My question is, does he needs to file DS260 for all his family members or only for him and his son who wants to travel with him? The information on the web always about how to add an applicant later to DS260. In this case it is the opposite. He only applied DS260 for him and his younger son.
I sent an email to KCC about this, they replied with me with generic email and link to the same web instructions. I assume they did not read it even.
Appreciate your opinion in this regard.

Dear Brit,
We’re a couple from different nationalities, got married in my wife’s country, registered the marriage in my Embassy there, which made the marriage legal in both our countries.
Due to some circumstances beyond my capabilities, I’m only able at the moment to provide the equivalent marriage certificate issued from my country based on the registration done at the embassy.
Would that suffice or will they only accept a marriage certificate issued from authorities in the country where the marriage happened?

I am Dv 2022 winner CN 2022AF211**. I fill D’s 260 in may and also I made a mistake when I fill it and then I asked kcc to unlok after 2 month they did it. I made my correction and I have resend it and also they send me a confirmation email. After a week kcc send me anther email if I need it to unlock agai to send them unlock request. It is happened that I have send emails 2 times due to their delay. The I have email them l didn’t any unlock because I did it. But, when I have seen your Question & Answer regarding education I have mantioned from higher to lower mean that ( maaster, first degree & Diploma) but, I haven’t mentions my high school.

I have decided to send my documents without DR. However, my Police Clearance certificate is going to expire in January. My case number is about 25000 AS , and I submitted DS260 on June 22 . If I send my documents , will they consider my Police Clearance certificate as expired if they review my documents on the days after its expiry in January or they will ask me to send a new police certificate? As I explained my case , would you advise me to send my documents now or wait until I get renewed police clearance certificate and then send the documents.

i won in dv 2022 lottery (6th participation) and they wrote me this in the entrant status check when i won:
“Your case will not be scheduled for an interview appointment until a visa number is available,
you have submitted a complete and valid DS-260 application for each family member, and you have provided copies of all required documentation to the Kentucky Consular Center (KCC). You will
receive document submission instructions by e-mail after KCC processes and accepts the DS-260 application forms for you and any accompanying family members.”
so i assumed i was exempt from the ds-260 and i’ve been waiting for an email for the next steps since then, was i wrong? knowing that my case number is AF40k should i send the ds-260 ?

Frankly, I was in another website as directed by you, however I find that yours is more convenient where I can post freely when I have a question and also you always take time to answer. Thanks you. Well, back to document submission.
1.Some of my certificates are in my native language. I got them translated. I see here that the translator needs to add a separate statement, but in mine he had just put on his seal and signature (He is a government registered translator). Do I have to get a statement on the paper or can I leave it as it is?
2. Can I get the original and translation in one pdf
Ex.: 2021AS24xxx_Jane_Doe_original_Birth_Certificate_and_ translation.pdf? or should I do it separately? (I am asking this because I have quite a few documents to attach and I am afraid they exceed the limit)
3. I have the affidavit, do I have to send it or is that to be submitted at consular level at the interview?
